Kahin Center Event Policies

For Events Requiring Student Assistants

Contact Person’s Responsibilities:

Complete the Kahin Center Event Application form and ensure compliance with Cornell University Use of University Property [www.activities.cornell.edu/EventReg/]. Arrange a time to meet with the Kahin Center Building Manager [kahin@is.cornell.edu], in order to borrow the key and discuss arrangements and policies. Give clear instructions to the student assistant(s) (name(s) and contact information to be supplied) regarding set-up and A/V requirements, before and during the event.

Be present throughout the event to ensure that participants follow Kahin Center policies, and to be available to answer questions by the student assistant(s). Return the key to the Kahin Center Building Manager’s mailbox within three weekdays, or leave key with the student assistant(s).

Student Assistant(s)’s Responsibilities:

Set up chairs, tables and A/V equipment according to the description or drawing submitted by the contact person. Operate the A/V equipment during the event.

Be available to answer questions and carry out the directions of the contact person. Store chairs, tables and A/V equipment after the event. Clean up after the event—dispose of leftover food and trash in the dumpster, wipe surfaces of tables, wipe plastic table cloths (if used), vacuum floors as needed, clean the kitchen and wash utensils, etc.

For events not requiring student assistants

Contact Person’s Responsibilities:

Arrange a time to meet with the Kahin Center Building Manager [kahin@is.cornell.edu], in order to borrow the key and discuss arrangements and policies. When you arrive, unlock the front door (latch and deadbolt). Be present throughout the event to ensure that participants follow Kahin Center policies. Return the key to the Kahin Center Building Manager’s mailbox within three weekdays.

Tables & Chairs:

Chairs are stored in the hall to the East of the large meeting room. Folding tables are stored in the coat room off the front entryway. Please wipe them down and return them when you are finished.

Supplies:

Three tall, beige plastic garbage pails are located outside the pantry. Inside are plastic liners for the pails.

Clean-Up:

Leave the rooms that you use, including the kitchen, clean and tidy. If the floors and carpets need vacuuming, there is a vacuum cleaner in the custodian’s closet. Remove all trash to the dumpster in the parking area outside the northeast end of the building.

Security:

Double check to make sure the porch and front doors are closed and locked and that any windows that were opened are shut and locked. The latch on the edge of the front door must be locked, and the deadbolt must be locked from the outside with the “OD” key.

For events not requiring student assistants

Contact Person’s Responsibilities:

Arrange a time to meet with Jon Perry, the Kahin Center Building Coordinator [kahin@is.cornell.edu], in order to borrow the key and discuss arrangements and policies. When you arrive, unlock the front door (latch and deadbolt). Be present throughout the event to ensure that participants follow Kahin Center policies. Return the key to the Jon Perry’s Kahin Center mailbox within three weekdays.

Tables & Chairs:
